Tenancy Onboarding Administrator

Michael Graham Lettings is looking for an organised and customer-focused Tenancy Onboarding Administrator to join our busy Lettings team in Central Milton Keynes. This is a fantastic opportunity for someone who enjoys working in a fast-paced property environment and wants to play a key role in delivering an excellent service to landlords and tenants.

The job is offered as a 6 month fixed term contract to cover long term absence with a view to extend to a permanent permission.  The hours are full time Monday to Friday and every 4th Saturday (9am to 4pm).

You will provide support and administrative guidance throughout the entire tenancy onboarding process – from the initial referral from our front office teams through to the successful start of a tenancy. You will also support the Property Management and Renewals teams when required.

Key Responsibilities

  • Qualify landlords and tenants in line with company policy and compliance procedures.
  • Progress new lets, including:
    • Applying for references
    • Taking payments from tenants and landlords
    • Preparing tenancy agreements, additional clauses and addendums
    • Serving all correct pre-tenancy documentation
    • Arranging check in inventory reports
    • Arranging key hand overs
    • Inform utility companies of new tenant details, including meter readings
  • Supervise file records for all move-ins and ensure all relevant documents are saved accurately within the CRM system
  • Develop and maintain strong professional relationships with landlords and tenants
  • Deal with customers via telephone and walk-ins as required
  • Work with the Lettings and Renewals Administrator and Property Managers to assist with daily tasks
  • Undertake any additional duties as directed by your Manager to support team objectives and your own development

  • Confident using CRM systems and Microsoft Office
  • A proactive, team-focused attitude
  • Previous experience in lettings or property is desirable but not essential
