Provide support and administration guidance from the referral of a tenancy from the front offices through to the conclusion of the tenancy including any disputes or complaints that arise throughout the tenancy. You will also need to provide support to the front offices when required to ensure they follow the tenancy procedures correctly.
Qualify Landlords and Tenants according to company policy and compliance procedures
Develop and maintain professional landlord and tenant relations
Deal with customers by telephone and walk ins as necessary
Set up new Landlord and properties on the software system and check they comply with current laws and regulations.
Set up and maintain Rent & Legal Protection insurance policies with Landlords
Progress new lets (for both Michael Graham and Mustard tenancies), to include; applying for references, taking payments from tenants and landlords, drawing up tenancy agreements, including preparation of additional clauses, addendums and break clauses.
Deal with all properties and ensure all appropriate paperwork is received when taking over properties from other agents
Supervise file records for all move ins and ensure all relevant documents are saved in Reapit, inform all utility companies of new tenant details with meter readings and ensure files are accurate
Check and respond to emails first thing every morning, then periodically during the day. Ensure all emails are responded to adequately or passed on to the relevant team member within an hour of receiving.
Be responsible for the check in procedures and ensure all parties are kept informed and complete all pre tenancy checks.
Work with the Lettings and Renewals Administrator to ensure end of tenancy procedures are followed correctly, to include arranging check outs and sending end of tenancy letters.
Undertake any other responsibilities as specifically directed and agreed with your Manager. These duties, in addition to those above, will be required to support your team and /or benefit your development within the Company.
Report directly to the Lettings Manager.
