Job description

The successful candidate will be required to provide full secretarial and administrative support to the manager and in a dynamic and busy sales team.

Key responsibilities

To be able to provide support over more than one office, when required, for extended periods of time.

Typing, filing, keep key book updated, raise invoices on exchange and monitor timely payment of such, archive properties as required, organise mailshots and assist with brochure production and distribution. Check previous day's valuations are entered.

Ensure adequate stock of franking machine funds / stamps, distribute daily post, ensure post sent.

Create bookings for valuations and bookings in RPS, ensuring timekeeping of appointments is acceptable.

Keep fellow team members informed, verbally and by email with the current business within the office.

Deal with customers by telephone and walk ins as necessary, send property details.

To be able to oversee, coordinate and process sales proceeding for the office.

Organise office cleaning, ensure the office is presentable at all times, i.e. no cups, desks tidy, organise general maintenance and repairs, ensure all light bulbs working.

Compile adverts for submission to newspapers, send copy of advert to vendor, update advert file for vendors in computer, complete advert record form, organise window display.

Check auto transfer between branches, ensure backup from previous day is taken off site.

Type new property details, order floor plans and professional photography, arrange erection and collection of boards send agency agreements and forms (ensure their return) enter fee details.

Check and respond to emails first thing every morning, then periodically during the day.

Complete employee attendance and holiday request charts, submit to personnel department.

Organise maintenance and repairs of all office equipment.

Maintain stationery, kitchen and general office supplies, monitoring the most cost effective source.

Update the property portfolios, including the window and office display cards.

Liaise with the administrator supervisor.

Candidate Profile

Professional demeanour.

keyboard skills are necessary.

Able to quickly build rapport and long standing relationships.

Be proficient in Microsoft Office. Full training will be given in respect of internal systems.

Must be computer literate.

Driving licence necessary.

Be able to work independently as well as part of a team.

Be adaptable and flexible.

Excellent attention to detail.
